Senior Librarian/Manager, User Services and Spaces

The Office of Information, Knowledge and Library Services (OIKLS), NTU Singapore is seeking a suitable candidate to plan and administer library services operations, maintenance of collections and resources, spaces and facilities in the libraries.

Responsibilities:

  • Plan and oversee day-to-day operations of all NTU libraries and its Service Desks.
  • Review, update and enforce policies and procedures to ensure efficient delivery of library services.
  • Manage incident reporting process and emergency procedures.
  • Analyse worklfow and processes and identify ways to streamline operations.
  • Identify relevant usage statistics and devise automated methods to capture for mangement reports.
  • Plan and conduct user studies, environmental scanning and analyze user feedback for service improvement projects.
  • Serve as Library Safety Representative and enforce compliance with NTU workplace safety and health guidelines.
  • Manage circulation of library collections and resources, including fulfilment of loans, fine/fee collection and resolution of other related user enquiries.
  • Administer shelf and closed stack management at all NTU libraries.
  • Conduct weeding and discard functions in accordance with library policy.
  • Facilitate as business owner for the operations and development of the fulfillment module in the Library Services Platform (LSP).
  • Oversee all library spaces to ensure cleanliness, facilities and equipment are in working order.
  • Forecast and track budget for facilities maintenance.
  • Develop and enforce a set of Standard Operating Procedures (SOPs) for effective maintenance of all facilities.
  • Serve as key liaison with other NTU teams to faciiltate fault reporting and rectification.
  • Forecast and track budget for temporary manpower and student assistants.
  • Develop, organize and conduct training to upskill Staff and Student Assistants (SAs) in operational work, service delivery and proper use of facilities and equipment.
  • Supervise and monitor performance of a team of support staff and SAs to deliver services in accordance with NTU’s service standards.

Requirements:

  • Degree in any discipline. Candidates with Master of Library Information Science would have an added advantage.
  • At least 5 years of working experience in libraries (with preference for academic or research libraries) with supervisory experience.
  • Experience in library facilities management or workplace safety compliance will be advantageous.
    Good knowledge of library operations.
  • Knowledge of Library Services Platforms (e.g. Alma).
  • Good management skills.
  • Data analytic skills to interpret data and draw insights.
  • Good time management skills and ability to prioritize work well.
  • Good presentation and service delivery skills.
